1. What should an interview invitation email include when I invite 50+ candidates at once?

Send 1 short email that answers every question up front: role, format, length, time, who and 1 action with a date. Keep the message to 2 sentences, then add a labelled details block.

Completeness matters at volume, because every missing detail comes back as a reply. Short still wins. In a foundational 2023 test, a 49-word request to 7,002 school board members got 4.8% replies, against 2.7% for 127 words (Rogers and Lasky-Fink).

2. What subject line gets an interview invitation email opened instead of ignored or filtered?

Put "interview", the role, your company and the candidate's first name in the subject, and send it from a named person on your domain.

For example, "Exciting opportunity!!" from a no-reply ATS address names no job, company or person, so the candidate can't check it. "Interview for Support Lead at Acme, Maria" from priya.shah@acme.com names her job, a company to search and a person who will answer.

The first name helps: it raised marketing-email opens from 9.05% to 10.80% in foundational 2018 field experiments (Sahni and colleagues). Keep the interview invitation email subject under about 60 characters, as WizeHire advises.

To avoid spam folders, keep it plain: few links, and no "Urgent", "Congratulations" or all-caps words.

For a live interview, hold 1 to 3 times and add a way to change them. Use a self-booking link for many short screens.

Held times win on turnout, with a catch. In a foundational 2016 flu-shot test, pre-booked slots raised vaccination by 10 points, though this "came at the cost of a high no-show rate" (Chapman and colleagues). So add reminders to every held time.

Links win on your time. In candidate.fyi's vendor data, self-booking cut time to interview from 5.9 days to 3.9, and scheduling work from 243 minutes to 27.

3.1 How soon after screening should I send the invite?

Send it as soon as you decide, because a candidate weighing 3 options rarely waits out a 3-week silence (LHH).

Our invites from 15 Jun to 13 Sep 2026 showed no best send day or hour within each company. Local time was estimated, and most invites were in Asian and African time zones.

4. How do I write an interview invitation email for an AI interview so candidates finish it?

Say in the first 2 lines that it is a recorded interview in their own time, its length and the deadline. Then name who decides and who to contact.

This invite matters most, because candidates drop out before the interview, not during it.

Explain the AI, because only 26% of candidates trust AI to judge them fairly (Gartner). In a foundational 2,000-person field experiment with a public employer, a bare AI disclosure lowered job interest (Keppeler, 2024). So template 4.1 explains what the AI does and who decides.

Template 4.1 keeps questions few. More questions went with worse reactions across 27,809 one-way interviews in a foundational 2024 study (Tilston and colleagues). A 3-minute answer cap gave the best performance in a 185-person mock-interview experiment (Orji and Bangerter).

Give about 7 days, and write out the date, time and time zone. In our data, 98.3% of finishers were done within 7 days, and about 1 in 4 finishers (25.7%) came in after 48 hours.

More than a week buys little: only 1.7% of finishers came in between day 7 and day 14. Your shortlist waits for the slowest.

A deadline still helps, and a planned day and time helps more, because it turns "later" into a plan. Hireflix, a one-way interview vendor, also advises a real deadline and a nudge before it closes.

For example, send on Monday at 09:00 with a deadline of the next Monday at 18:00 their time. Remind on Wednesday, and block Tuesday morning for review.

Write the real length, checks included, as the card shows. If someone misses your deadline, reopen their original link rather than sending a new one, so their answers stay in 1 record.

6. How do I ask about reasonable adjustments in an interview invitation email without asking about disability?

Add 1 sentence inviting every candidate to ask for changes to the format, and name who handles requests. Never ask whether they have a disability or a health condition.

In Great Britain, it is a legal duty. Acas says: "By law you must ask anyone coming to an interview to tell you if they need reasonable adjustments so they can attend."

In the US, the Job Accommodation Network's foundational 2022 guide advises describing the interview at least 48 hours ahead (JAN).

The name matters because few managers get trained for this. Only 18% of organisations train line managers to respond when someone says they are neurodivergent. That comes from CIPD's foundational 2024 survey of 1,003 UK senior managers (CIPD).

Ask whether this format would make it harder to show your best, and offer more time, questions in writing or a live call. Name 1 contact, with an email and a phone number.

Don't ask "Do you have a disability" or about "any health conditions we should know about", and never send a form that asks for a diagnosis.

7. How do I make my interview invitation email look legitimate when candidates fear job scams?

Make the invite easy to check: a named sender on your domain, the role on your careers page and no request for money.

Candidates doubt you because fake offers look real. Job-scam losses reported to the US FTC rose from $90 million in 2020 to $501 million in 2024. The FBI logged 24,688 employment complaints and $362.9 million lost in 2025.

They also check you. The FTC's foundational 2023 advice says to search the company name plus "scam", and that honest employers never ask you to pay (FTC). Your first invite should pass 4 checks:

  • The sender: a company-domain address, a named person and their title.
  • The job: a link to the role on your own careers page.
  • Money: a line that says "We will never ask you to pay."
  • The link: the platform's name and why you use it.

7.1 Can I invite candidates by text or WhatsApp instead of email?

Send the invite by email, and use a text only to point to it, at a number the candidate gave you. The FTC tells job seekers to ignore generic and unexpected job texts, because "real employers will never contact you that way".

8. When should I send interview reminders, and how many, to cut no-shows?

Plan 2 reminders: one 2 days after the invite, and a last nudge 2 days before the deadline. Each goes to anyone not booked or started, repeats the date and makes declining easy.

In LHH's 2026 survey of 500 US HR staff, 60% had a candidate miss an interview on their team.

Text reminders raised attendance at health appointments across 28 studies in a foundational 2016 review (Boksmati and colleagues). In a foundational 2021 megastudy of 47,306 patients, the best message reminded people twice and said the slot was "reserved" (Milkman and colleagues).

In the first of 2 foundational 2015 NHS trials, with 10,111 patients, naming the cost cut missed appointments from 11.1% to 8.4% (Hallsworth and colleagues).

Every invitee who had not opened the link by then got a reminder, so there is no comparison group: this shows timing, not that the reminder caused it.

Send it the day before, and add a text 4 hours before, as Calendly's recruiters do.

9. What do I send when a candidate never replies, never got the invite, or doesn't show?

On day 5, send 1 last nudge with the date and an easy way to say no. Resend a missing invite to the same address, and offer a no-show 1 new time before you close.

Indeed advises a follow-up after 48 to 72 hours without a reply.

Say you invite on Thursday, day 0, with a deadline 7 days out. Reminder 1 goes on Saturday, day 2, to anyone not booked or started.

The last nudge goes on Tuesday, day 5, with the date and an easy way to say no. On Thursday, day 7, you close, or give a no-show 1 new time.

When an invite goes missing, check the address for a typo such as "maria.lopez@gmial.com", then resend the same link.

10. How should a second-round or final interview invitation email differ from the first?

Name every interviewer and their role, give a start and end time, and say what the round assesses and what to prepare. Then say when the candidate will hear back, so they can plan.

A later round asks more, because a 60 to 90-minute panel means employed candidates book time off. Built In's guide advises naming the interviewers and the length, and CharlieHR adds when they'll hear back.

Tell them how you will judge them. Singapore's TAFEP advises "an objective and consistent list of interview questions" tied to the selection criteria.

So say that every finalist gets the same questions on the same criteria, the core of a structured interview scored on an interview scorecard.

For example, after an AI interview, mention 1 thing from it, such as "your answer on handling refund disputes". The invite then reads as written for them, and the panel can skip questions already answered and spend the time on what is still unknown.
